Mission Assistant:  Advancement

Holy Apostles Catholic Parish is seeking a part-time Mission Assistant: Advancement to promote and champion the parish mission in supporting the Mission Advancement Officer.  This position is responsible for assisting in communicating the parish mission, implementing and managing events, and prepare materials for visits and follow-ups.  Collaborating on data integrity and maintaining accurate parishioner data is key.

This is a 20 hour a week position, with occasional evening and weekend hours are required.

RESPONSIBILITIES:

 Analytics

  • Track key parishioner metrics including maintaining and updating development dashboard results.
  • Analyze database for segmentation and key financial reporting.
  • Collaborate on data integrity and maintain accuracy of parishioner biographic information.

Project Management

  • Coordinate direct mailing of solicitations and parishioners’ communications.
  • Provide orientation and direction to volunteers as needed.
  • Implement and manage mission focused cultivation and advancement events.
  • Identify areas for process improvement and assist in improvement implementation.

Relationship Management

  • Field questions from parishioners/visitors and address their needs.
  • Provide response and support to parishioner questions on pledges and giving.

QUALIFICATIONS:

  • Excellent analytical and strong project management skills
  • Highly organized, close attention to detail
  • High level of proficiency with MS Office products.  Excel (V Lookup, Pivot Tables, sort/filter, graph).  MS Word (Mail Merge from multiple data sets).
  • Previous database reporting and relationship management software experience preferred
  • Creativity, innovation, and flexibility

School Administrative Assistant

The school administrative assistant performs confidential secretarial and clerical responsibilities necessary for an efficient and effective school office while acting as a minister of hospitality for students, staff, parents, and parishioners.  Work schedule follows school calendar with some flexible summer hours.  This is a full-time postition.

Clerical/Administrative Duties

  • Answer phones and maintain front door security.
  • Record daily attendance, handling all notes from home and keeping list of students who are tardy, leaving early or attend after school activities.
  • Coordinates student school busing schedules and field trip busing schedules with public busing companies.
  • Coordinates and schedules school assemblies and fundraising assemblies, including facility scheduling for all school related activities and subgroup activities.
  • Registers new families and prepares forms for the new school year.
  • Arranges for substitute teachers.
  • Take care of monies that come into the office and appropriately distribute.
  • Coordinate with Health Room volunteers on student records.
  • Assists the principal in scheduling and running safety protocols (fire drills, tornado drills, Lock Down, etc.)

Student Relations

  • Assists staff with student concerns
  • Health office responsibilities include attending to the needs of sick and injured students as well as managing medical records and medications.
