School Administrative Assistant

School Administrative Assistant
The school administrative assistant performs confidential administrative, record keeping, data entry, health room support student and parent relations, and reception duties. Assist students with their individual needs. Serves as a resource for students, staff, parents, and parishioners.

Responsibilities
• Promote and champion the parish/school mission; Love God. Love Others. Transform our world.
• Collaborate with pastor, principal, staff, and leadership in the ongoing development and implementation of the parish/school mission.
• Communicate a persistent and consistent message that aligns resources to most effectively and efficiently further the parish/school mission.
• Assists with School fees; tuition, lunch fees field trips and other fees. Collaborate with Parish Business Office.
• Maintains student permanent records, advancing grades, recording graduations, withdrawals, and new admissions.
• Maintain and update schedules for volunteers and or employees who work in the health room, playground or lunchroom. Manage and update sign ups and secure open positions. Assist when open positions are not filled.
• Maintain and update all student immunization records.
• Coordinate activities associated with audits testing and accreditation processes
• Laminate items as needed.
• Check main school office voicemail
• Answer phones
• Distribute notes, lunches, phone messages, etc. to students and teachers as needed during the day
• Helps maintain office copy machine
• Maintain the front door security
• Prepares and Updates the School Calendar
• Corresponds with companies regarding purchases and billing for supplies
• Prepares forms for the new school year (medical info, class lists, volunteer list, etc.)
• Registers new families
• Records yearly attendance totals for teachers and records on their attendance sheet
• Distributes medicines/first aid and maintains records
• Coordinates and orders supplies for the Art program/classroom.
• Works with yearbook company to obtain staff, student, and classroom pictures
• Coordinates volunteer appreciation activities
• Meets with principal on a regular basis
• Performs correspondence tasks for the principal when requested
• Assists the principal in scheduling and running safety protocols (fire drills, tornado drills, Lock Down, etc.)
Meetings and Organizations:
a. May participate in faculty, team, and in-service meetings.
b. Assists with preparation and may attend Back to School Night.
c. May attend Open House and Family Night during Catholic Schools Week.
Parish and School Core Competencies:
Follow the policies and procedures of the Parish and School as outlined in the employee handbook and other procedural manuals.
Abide by the Code of Conduct and ethical standards
Physical Requirements:
The employee is regularly required to sit, stand, walk, talk and hear.
The employee is frequently required to sit for extended periods; use hands; reach with hands and arms.
Close vision is required for paperwork and computers.
Able to utilize computer keyboard, monitor, and telephone.
This role functions in an office environment and uses standard office equipment.
Ability to lift 25 pounds.

Qualifications
• Knowledge of the parish and school mission, ministries, and structure
• Ability to communicate well orally and in writing with students, families, staff, parish leaders and volunteers while using a collaborative work style
• Proficient in MS Office
• Relates well with children and parents
• Ability to organize and prioritize tasks
• At least 3 years' experience in an administrative role, preferably in a school.
• Associate/bachelor's degree in education or related field is preferred
• Ability to respond to children in all aspects; safety, movement, learning and interaction.
• Having completed or willing to complete the Safeguarding All God's Children certification

Guidance Counselor Part-Time Elementary School:
Pre-K - 8th Grade
Holy Apostles Catholic School is seeking a School Guidance Counselor. This is a part-time position, with 24 hours per week. The position will provide assessment intervention and counseling, as well as teaching services to students. Collaboration with parents and staff will also be very important, as well as available resources that provide support for students to help achieve success. The candidate should possess excellent communication skills, exhibit empathy and support the academic, emotional and social needs of students.
Responsibilities
• Initiate contact and/or accept appointments with students who need support or intervention to support their individual learning and behavioral needs which may involve education, emotional, and social concerns
• Provide one-on-one as well as small group counseling
• Provide tools and support to classroom teachers
• Help students toward realistic self-appraisal, goal setting and resources
• See students as individuals and acknowledge their right to acceptance as human beings
• Plan and participate in classroom guidance activities related to the areas of personal/social development, decision making, high school preparedness, and problem-solving techniques
• Make appropriate referrals to other personnel, specialists, and/or community agencies/resources
• Plan and guide a peer mediation group when needed
Qualifications
• A master’s degree in counseling, guidance, or psychology with an appropriate license level to guide and support students
• Experience in elementary education providing student guidance
• The qualified candidate will be committed to the values of Catholic education
• Having completed or willing to complete the Safeguarding All God's Children certification class

After School Care Assistant (Part-time)
Holy Apostles Catholic School is seeking a part-time Extended Care Assistant in our After-School Care program. Looking for passionate and energetic individuals that are excited to work with students from 3K-8th grade. The work hours would start at 2:45pm and, at the latest, end at 6:00pm, on days when school is in session. Flexible days commitment available; 5, 3 or 2 days per week. The Extended Care Assistant will assist with the supervision of children to ensure a safe, caring, and welcoming environment for young children and their parents.
Responsibilities
· Ensures students are orderly and acting appropriately.
· Contribute to the children’s sense of self-worth as a Christian person.
· Effectively perform activities assigned that meet the needs, interests and abilities of the children.
· Directs movement of students to and from various areas of the building in a safe and organized manner.
· Maintain open lines of communication with children and their parents.
· Responds to emergency situations for the purpose of resolving immediate safety concerns.
Qualifications
The qualified candidate will be committed to the values of Catholic education, have experience working with children, be driven to meet the needs of all learners and having completed, or willing, to complete the Safeguarding All God's Children certification.

Substitute Teacher (Temporary)
Holy Apostles School is seeking a short-term Substitute Teacher to teach in grades 3K through 8th. The Substitute Teacher will work in the absence of our regular teachers/aides, assisting students in their daily tasks and helping ensure the understanding of the subject matter being covered. This position possesses the skills needed to cover daily instruction and run the classroom environment in an orderly fashion.
Responsibilities
- Follow regular teacher’s lesson plans in a way that ensures consistency and optimal learning, and that encourages students to participate.
- Assign classwork and homework as necessary, according to lesson plans
- Modify teaching styles to fit the learning styles of various students
- Maintain a well-managed classroom and positive learning environment
- Supervise students out of class such as in the hallways and in the cafeteria
- Comply with all procedures, guidelines, and policies of the school at all times
- Maintain a professional attitude in all manner of conduct with students, faculty, and parents, including a commitment to confidentiality
Qualifications
The qualified candidate will be committed to the values of Catholic education, possess a valid Wisconsin teaching or substitute teaching license and be driven to meet the needs of all learners.
